JOB OVERVIEW:
The Controller & Human Resources Manager is an integral member of the small CWC administrative management team, having a wide range of diverse and discrete interactions with staff and CWC membership. This hands-on role is accountable for the Club’s financial and human resources operations.
The Controller directs and manages the financial operations of the CWC in accordance with Generally Accepted Accounting Principles (GAAP) to ethically optimize financial health and mitigate risk. The Controller provides financial knowledge and analyses to support decision-making and planning. They apply best practices to establish and administer systems for accounting, auditing, budgeting, taxes, records maintenance, and all financial matters. The Controller delivers financial reports for the Board, members, committees, and staff that are understandable and pertinent to their needs and assists with interpretations. They also represent the CWC to auditors and other professional vendor services, and they manage all file retention procedures for financial records.
The Human Resources Manager’s responsibilities include implementing systems for managing the staff, compensation and benefits, and ensuring compliance with the local, state and federal regulations. They ensure consistent application of HR policies by providing guidance to employees, and they understand the importance of confidentiality and discretion in managing employee information. The Human Resources Manager drafts an overall compensation strategy based on market research and pay surveys to be discussed with the General Manager. They participate in all Personnel Committee meetings and may be a member of ad hoc subcommittees. They also manage file retention procedures for employee records.
RESPONSIBILITIES:
Accounting & Reporting
· Prepare accurate financial reports for all entities, including monthly and annual revenue and expense statements, balance sheets and budget versus actual analyses.
· Prepare and present detailed financial reports to the Treasurer and Executive Board, highlighting key performance indicators and trends.
· Prepare statistical and ad hoc reports pertinent to Club operations as requested by the Executive Board and CWC Committees.
· Prepare all financial documents pertaining to CWC operations, member and vendor accounts, and regulatory agencies.
· Complete general ledger reconciliation processes to maintain accurate financial records.
· Process accounts receivable charges, ensuring proper and timely Member billing, including posting of cash receipts, and accurate record-keeping.
· Process vendor accounts payable bills, ensuring timely coded entry and payment of invoices and accurate record-keeping.
· Process payroll, ensuring compliance with tax regulations and accuracy in employee compensation.
· Manage records and prepare notifications regarding member charitable donations and prepare annual donation reports.
· Optimize the management of cash flow and transfers of all CWC operating and endowment funds; assure appropriate use and documentation of restricted versus non-restricted funds.
· Prepare the annual operating budget.
· Utilize Jonas Club software for efficient management of accounting tasks and reporting functions.
· Provide technical accounting guidance, as needed.
· Participate as the Staff Liaison in all meetings of the assigned committees.
· Inform Treasurer and General Manager of matters requiring Board consideration. Record all Board actions relative to financial operations.
Internal Controls and Financial Procedures
· Institute and manage appropriate internal controls and financial procedures.
· Ensure compliance and timely regulatory reporting in accordance with applicable laws and regulations.
· Conduct financial analysis to identify areas for improvement and support strategic planning initiatives.
· Analyze economic, business, operational and financial issues on their general impact to CWC policies and operations.
· Recommend benchmarks to measure the performance of Club operations.
· Identify and resolve variances or abnormalities.
· Manage filing systems, paper and electronic, and document security.
Tax, Audit & Vendor Management
· Collaborate with external auditors during annual audits to ensure compliance and transparency in financial reporting.
· Safeguard and take proactive steps regarding the CWC’s non-profit tax status.
· Maintain compliance with UPMIFA.
· Prepare all documents and requested information for the annual audit and tax return in concert with the CWC’s external accountants.
· Receive and review the CWC’s Form #990, Form #5500 and any other required tax forms.
· Prepare and file sales tax returns.
· Manage, negotiate and maintain relationships with lenders, banks and other funding sources.
· Work with CWC’s various banking and investment institutions and vendors regarding services, ordering, licenses, and compliance with applicable regulations and laws.
· Manage insurance policies and claims. Serve as the CWC representative with the broker.
Human Resources
· Perform all payroll, employee benefit, and retirement plan functions and requirements, including payroll processing, benefit enrollments and reporting.
· Maintain security of employee personnel files and ensure they are current and complete.
· Maintain knowledge of local, state and federal employment laws, rules and regulations that govern human resources practices. Ensure compliance with current employment laws and regulations.
· Manage the State of Ohio unemployment and worker’s compensation responsibilities.
· Prepare annual employee review reports, including reporting of wage and benefit survey benchmark results and best practices for the Personnel Committee and General Manager.
· Participate in the bi-annual review of the CWC Employee Handbook and job descriptions.
· Provide guidance to the Personnel Committee on human resources issues or trends.
· Provide guidance to employees to ensure a consistent application of policies and procedures related to human resources.
· Participate in conflict resolution, disciplinary processes and workplace investigations.
· Attend staff meetings and training sessions as directed.
REQUIREMENTS:
· Bachelor’s degree in accounting; CPA or equivalent certification preferred.
· Proven experience of 5 years or more and strong knowledge of small business accounting, non-profit accounting, corporate accounting or a combination of these.
· Strong knowledge of general ledger reconciliation.
· Demonstrated expertise in fiscal management, analytics, planning, time-management, communication and administrative skills.
· High level of integrity, attention to detail, and organizational skills.
· Ability to work collaboratively within a team environment while also being self-motivated.
· Experience in payroll and employee benefits management.
· Proficient with software programs used in financial and HR management, including the MS suite of products (Excel, Outlook, PowerPoint and Word.)
· In-person work location.

Pay: $79,000.00 - $85,000.00 per year
