Under the direction of the Director of Advising and Running Start, the Program Coordinator performs independent work using knowledge and experiences specific to the Advising and Running Start Center. This position serves as the first point of contact in the Advising Center and interacts daily with prospective, new, and continuing students as well as community members at the front desk. The Program Coordinator offers information (via phone, email or in-person) regarding programs and classes, and resources, as well as answer questions in a welcoming and friendly manner. This position works closely with Enrollment Services in relation to assisting new students to complete their intake and onboarding process (OCEANS Canvas Course) prior to scheduling advising appointments. The Program Coordinator performs complex scheduling by managing Advisors schedules, monitoring inventory and budget by tracking all expenses, assisting with various monthly and quarterly reports and overseeing the Shoreline Early Alert (SEA) referrals.

 

Primary responsibilities include the following: 

  • Provide information to students, staff, program participants and/or the public regarding program contents, services, policies and activities at Shoreline Community College.
  • Welcome students to the Advising Center, make appointments with advisors and triage/make student referrals to available campus resources.
  • Coordinate, schedule and monitor program activities and advising calendars in relation to new student intake and onboarding process including entry advising and ctcLink (a Peoplesoft program) related activities.  
  • Develop and maintain community resources for student referral
  • Prepare budget related paperwork for traveling and reimbursements; provide budgetary reports to Director
  • Hire, train and monitor the work of hourly and work-study students. Manage their schedule and coverage.
  • Develop quarterly reports and maintain data for advising related activities. 
  • Consistently utilize a collaborative approach to work with others, solve problems and resolve conflict
  • Keep running inventory of office supplies and maintains the upkeep of storage space as well as the Advising Center.
  • Offer occasional administrative assistance to Dean of Access and Advising

 

Qualifications

Required Education & Experience:

  • High school graduation or equivalent and
  • Two years of experience in the program specialty or
  • Equivalent education/experience


Knowledge Of: 

  • Microsoft Office applications such as SharePoint, Excel, Outlook, and Word programs
  • Applicable rules, regulations, and policies


Skill In:

  • Fostering a climate of equity and belonging through multicultural awareness and responsiveness
  • Time management, organization, and ability to meet competing deadlines/priorities
  • Entering and/or retrieving data accurately in computerized record keeping systems
  • Handling difficult and sensitive situations, using sound independent judgment within college & legal guidelines 
  • Writing/editing/proofreading clear and concise materials resulting in effective oral and written communication with individuals inside and/or outside of the College
  • Establishing/maintaining effective working relationships at all organizational levels
  • Ability to work with a diverse group of students, staff, and the public in a friendly, courteous and helpful manner

 

Conditions of Employment

Physical Work Environment: 

The College is currently providing services in a mixed modality of operations (both online and in-person services are offered). This position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus. Please note, there may be limited opportunities for online work depending on program or area needs. If authorized for online work, employees will need to provide their own workspace and internet access, noting the College will provide technical equipment and support for online work needs.

 

Terms Of Employment/Salary: 

This position is allocated to pay range 40, under the Washington State Office of Financial Management higher education salary schedule. Salary placement for new employees is determined by the College. This position works 40 hours per week, with a schedule dependent upon department needs. Hiring of this position is contingent on available funding as determined by the College President.
