Position Summary

The Human Resources Specialist will assist with the day-to-day operations of the Office of Human Resources including processing new hire paperwork, recruiting, onboarding of new employees, training, performance management, and maintenance of electronic and paper files.

Salary:  Appropriate placement on ACCS Salary Schedule E1, Grade 2: $50,680 - $68,169

Work Hours:  Monday through Thursday, 7:45 a.m. - 5:15 p.m.; Friday 7:45 a.m. - 11:45 a.m.

Essential Duties and Responsibilities

  1. Assist in the recruitment and selection process utilizing the on-line applicant tracking system; prepare and distribute job announcements and advertisements, maintain applicant database, prepare related correspondence and documents.
  2. Assist in the day-to-day operations of the Office of Human Resources.
  3. Process employee paperwork; maintain employee information in Banner and other systems.
  4. Set up and maintain personnel and search files; maintain the security and confidentiality of all personnel information, files, and documents.
  5. Ensure new employees complete appropriate forms in a timely manner; enter new employee information and appropriate data on persons hired into the Banner system for payroll purposes; prepare new employee files; maintain and set up employee files in Banner. 
  6. Prepare letters of appointment and for new employees.
  7. Develop and maintain job descriptions on all positions at the College.
  8. Interpret and explain human resources policies, procedures, laws, standards, or regulations.
  9. Address employee relations issues, such as harassment allegations, work complaints, or other employee concerns following the College and ACCS board policies.
  10. Maintain and update employee salary data, including experience and step placement.
  11. Work closely with payroll office staff to ensure timely and accurate information processing.
  12. Schedule or conduct new employee orientation.
  13. Maintain and update human resources documents, such as organizational charts, employee handbooks or directories, or performance evaluation forms.
  14. Conduct reference or background checks on job applicants.
  15. Confer with management to develop or implement personnel policies or procedures.
  16. Contact job applicants to inform them of the status of their applications.
  17. Work with the Instructional office to ensure faculty are paid appropriately.
  18. Process faculty salary roster in Banner.
  19. Ensure that necessary employment termination paperwork is completed. 
  20. Enter requests for purchase orders electronically; process and maintain files of purchase orders.
  21. Compile data, complete reports and maintain file of reports.
  22. Perform related work as assigned.

 

Qualifications

  1. A minimum of a Bachelor’s degree from an accredited institution and a minimum of three (3) years related work experience is required OR a minimum of two (2) years (96 quarter or 64 semester hours) of postsecondary education from an accredited institution and a minimum of five (5) years related work experience is required.
  2. Ability to utilize Microsoft Office programs for advanced computer work (i.e. Word, Excel, Teams) is required.

Preference will be given to candidates who can demonstrate through their experiences and accomplishments:

  1. Experience with applicant tracking systems;
  2. Excellent oral and written communication skills;
  3. Strong knowledge base of HR related laws and regulations, compliance, and industry best practices;
  4. Knowledge of principles and practices of payroll administration and best practices;
  5. Knowledge of community college policies and procedures;
  6. Ability to multi-task and prioritize issues;
  7. Knowledge of Banner/Ellucian system or a related program;
  8. Ability to follow detailed instructions and adhere to prescribed routines;
  9. A keen attention to detail;
  10. Ability to document instructions;
  11. Knowledge of generally accepted office practices and procedures, including records management;
  12. Knowledge of common business processes;
  13. Ability to work and communicate with a variety of people from diverse backgrounds;
  14. Ability to make decisions based on correspondence, data or other information;
  15. Ability to work with minimal supervision/work independently;
  16. Ability to operate in a professional manner at all times;
  17. Ability to check/verify information;
  18. Confidence in decision making and communication skills;
  19. Conscientious- care about how work is done and wanting to do a good job;
  20. Initiative- respond to downtime by taking responsibility to do other work;
  21. Customer service orientated- a focus on being friendly and patient in responding to customer needs;
