DESCRIPTION

UC San Diego Health East Campus is the newest hospital in the UCSD Health portfolio. It will be experiencing significant change and transformation over the next decade. The Facilities Engineering Team plays a critical support role for all hospital operations in ensuring the building and infrastructure are maintained at optimal levels. This position is the main administrative support of the East Campus Facilities Engineering Team.

This position primarily serves an admin function and will perform a variety of duties, including, but not limited to general administrative duties, data collection & performance tracking, information & report preparation, meeting management & event coordination, and special projects.

This position will undertake specific process analysis work in the form a Green Belt project through UCSD Extension.

This position will also join collaborative projects with departments across the UCSD Health landscape, including Business Administration, Nursing, Finance, Supply Chain, Transformational Health, Information Services, Strategy, Communications, Campus, and others.

Successful candidates will exhibit strong communication skills across a variety of mediums and platforms, a desire and intuition for problem-solving, an interest in learning, and the ability to collaborate across various functions and UCSD Health departments to achieve organizational objectives

JOB RESPONSABILITIES:

  • Full suite of administrative support to the department Manager & Director (calendar & coordination, meeting management, proactively resolve calendar conflicts, event planning, travel support, department & division communications, etc), financial management support (budget report reviews, PO maintenance, non-labor submissions), labor resource management (timekeeping, productivity reviews, people planning, interview coordination, org chart maintenance), external department liaison (HR, IT/IS, Payroll, Supply Chain, operational clinical leaders, etc), and general business support (fleet maintenance, supply logistics, space setup, etc).
  • Manage, plan, and administers a range of administrative operations with intent to drive division-wide alignment and organization with established tools, structure, standards, and best practices.
  • Operate a framework of programs to help staff, departments, and the division achieve its goals & objectives and support local operations, including long-term efforts to identify, assess, track, and implement efficiencies in operations (labor & non-labor); support a system-framework with a renewed and structured focus on quality, timeliness, and customer service; collaborate with administrative partners (Supply Chain, Finance, HR) for the benefit of all; and, provide analytic support across local operations.
  • Perform surveys and studies for resources plans and divisional activities in accordance with organizational and divisional goals.
  • Operational improvement project-based coordination and co-management with internal partners and external departments (THT, OEC, Finance, Campus, etc).
  • Organizing, designing, and drafting organizational website content.
  • Provide operational support and apply business concepts in the department and across the Facilities Division, including daily engagement, weekly reporting tools and escalation techniques, monthly scorecard reporting, performance reporting, and organizational collaboration support.
MINIMUM QUALIFICATIONS
  • Seven (7) years of related experience, education/training, OR a Bachelor's degree in related area plus three (3) years of related experience/training.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office software.
  • In-depth knowledge of business intelligence functions, advanced analytics, industry standards and best practices.
  • Advanced critical thinking and problem-solving skills to manage highly-complex information, assess problems, and develop effective solutions.
  • Advanced organizational and project management skills.
  • Ability to produce and deliver presentations to diverse audiences.
  • Advanced interpersonal skills for effective collaboration with managers, professional and technical staff.
  • Ability to serve as a technical leader providing advice, counsel, and analysis on business intelligence issues.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Attention to detail and accuracy in all work.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive approach to problem-solving and the ability to work independently as well as part of a team.
PREFERRED QUALIFICATIONS
  • Experience working in healthcare or construction.
  • Experience working in a heavily matrixed organization.
SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $77,000 - $139,200 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $36.88 - $66.67

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
