Job Description Summary
This position is being hired through our temp agency partner Spherion and the advertisement for this position will stay posted until the position is filled.The International Center at Santa Fe College is the hub for international students, international visitors, exchange scholars, and study-abroad opportunities. The International Center is comprised of International Student Services, international Student Support and Advising, International Education, and English for Academic Purposes. The Full-time Administrative Support Specialist will operate the front desk and perform clerical and administrative support duties to ensure successful, daily operation of the International Center.
Job Description
Responsibilities and duties include:
- Provides a professional, helpful, and welcoming atmosphere by greeting, responding to, and directing visitors.
- Accepts, screens, and routes telephone calls concerning activities and operations of the office, directing inquiries as appropriate and/or providing information.
- Assists current and prospective students and visitors by answering inquiries and referring to other departments/offices when needed.
- Oversees opening and closing duties of the International Center.
- Receives and processes departmental paperwork.
- Performs general office clerk duties and errands.
- Maintains supplies inventory and office equipment, such as printers, copiers, scanners, etc.
- Maintains the filing system.
- Creates, maintains, and enters information into databases.
- Assists in organizing and maintaining office common areas.
- Actively learns about immigration regulations and college procedures to help students when the supervisors are not available.
- Assists with coordinating events as necessary.
- Assists with coordination of student employees.
- Supports the different departments in the International Center.
- Complies with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.
- Strictly honors the privacy, security, and confidentiality of student records and other sensitive information according to appropriate state, federal, and college regulations, policies, and procedures.
- Provides service excellence through courteous, informed, accessible, and professional engagement.
- Performs other duties as assigned.
Reports to: Coordinator, International Student Services
QUALIFICATIONS
Required: High School diploma or equivalent, and two (2) years of customer services experience and/or a combination of education and experience equal to two (2) years. Basic computer skills and experience with MS Office, Word, and Excel.
Additional Requirements: A criminal background check will be conducted.
Preferred: Competencies in multiple languages, with a strong preference for Spanish language proficiency. Higher education experience.
