Faculty Support Specialist

Job Description

HJF is seeking a Faculty Support Specialist. The incumbent will provide guidance and assistance to administrators, faculty, and faculty candidates within and external to the organization on the requirements and procedures for academic appointment to various faculty positions. Counsel's students on educational programs, furnishing guidance on requirements and pathways to complete Associate and Bachelor’s degrees.

 


The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.

 


This position will be in support of the College of Allied Health Sciences (CAHS), Office of the Dean located in San Antonio, Texas.

Responsibilities:

  • Provide guidance, advice, and technical assistance on administrative operations and activities of the CAHS to appropriate administrators, department chairs, program directors, faculty, staff, and students, including completion and submission of documents and forms to appropriate offices.
  • Manage and coordinate academic appointments and conduct training activities with various departments at the CAHS branch campus, additional locations and other instructional sites.
  • Serve as consultant and liaison between the school and USU Civilian Human Resources Department on matters of faculty appointments and submit documentation in accordance with policy and procedures.
  • Develop students’ individualized degree plans based on awarded credits and assist with meeting educational goals by providing guidance on requirements, resources and services available to them.
  • Develop, prepare, and/or recommend changes to instructions, operating policies, or procedures relating to academic appointments, educational programs or activities to ensure successful accomplishment of program goals and objectives.
  • Review and interpret revised Federal, DoD, Uniformed Services University, the CAHS, and accrediting organizations’ policies, procedures, and requirements to administer programs; determine applicability; and ensure program compliance.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Qualifications:

Education and Experience

  • Bachelor’s Degree required. Master’s Degree preferred.
  • Minimum of 6-8 years of experience required.

Required Knowledge, Skills and Abilities

  • Experience working with military health care or medical educational organizations or programs or experience in an administrative support role in an accredited undergraduate or professional institution of higher education in a military or private sector organization.
  • Knowledge of the policies, practices and procedures pertaining to faculty appointments in an academic institution of higher learning. Experience and knowledge of counseling and interviewing techniques and ability to use them to gather educational and personal information in order to advise individuals regarding educational and credentials requirements.
  • Knowledge of both military and civilian occupations’ education and experience requirements.
  • Ability to plan and conduct analytical studies of data and prepare reports of findings with recommendations.
  • Knowledge of the principles of management and organization. Skill in planning, coordinating, and monitoring activities. Ability to develop and conduct effective training sessions.
  • Excellent oral and written communication skills.
  • Eligibility to obtain and maintain a Tier I Investigation/Public Trust and a Common Access Card (CAC).

Work Environment

  • This position will take place in an office setting.
  • Requires a minimum of three days on-site per week.
