Overview

This position will provide a variety of administrative functions to the Department Administrator and Research Administrators within the business office of the Division of Hematologic Neoplasia and Hematologic Malignancies in the Department of Medical Oncology. Uses various office software to produce reports, spreadsheets, presentations, or other documents as needed.  Requires knowledge of Institute policies and practices and may be required to interface with senior management, internal and external customers, and cross-organizations which require considerable tact and diplomacy.

Responsibilities

  • Assists with grant applications as needed and will perform Quality Control on internal records to maintain status updates of submitted grant applications. 
  • Prepares general correspondence, letters of recommendation, creates Excel spreadsheets, revises existing PowerPoint presentations, and maintains biosketches, and CVs for the division.
  • Submits manuscripts to NIHMS.
  • May be responsible for academic and hospital appointment processes, and the maintenance of licenses, credentialing, and annual certifications. 
  • Serve as a liaison with Human Resources for onboarding, management and termination of faculty and staff:
    • Request job posting approvals and create iCIMS requisitions
    • Assist with Visa applications for graduate students through Harvard International Office (HIO)
    • Coordinates performance review evaluations for faculty and staff.
    • Communicate with terminating personnel, manage termination checklist and submits termination PCF.
  • Assist in the preparation of financial reports utilizing Tableau to generate the initial data.
  • Prepares cost transfer documentation and circulates for the appropriate signatory approvals.
  • Prepares monthly expense reports, Pcard reconciliations, processes requests for vendor payment and creates invoices.
  • May be responsible for website maintenance as needed and maintain department training manual in collaboration with subject matter experts to ensure the information is up to date.
  • With guidance from the appropriate manager, assist with the preparation of a training schedule for new hires in the business office.
  • May coordinate meetings for Department Administrator and Managers as needed; assist in the planning of team gatherings.
  • Will assist with other administrative tasks or special projects as needed.

*No supervisory responsibilities however, in time, this position is well positioned for promotion to the Research Administrator track.

Qualifications

Bachelor’s degree or bachelor’s and a minimum of 3-5 years relevant experience working in a medical or scientific research setting or comparable technology-oriented business environment is preferred.  Demonstrated ability to draft correspondence and have exemplary oral and written communication skills.  Advanced computer skills are required.  A certain degree of creativity and latitude is required and relies on experience and judgment to plan and accomplish goals.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Excellent written and oral communication skills.
  • Knowledgeable of computer applications including Microsoft Office, Microsoft Outlook, PeopleSoft, Workday, Excel, and Tableau.
  • Strong customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
  • Must possess the ability to maintain confidentiality and pay attention to detail.
  • Excellent ability to organize, prioritize and follow-through.
