Summary of Position

Under the supervision of the Housing Administrative Coordinator (UB0157), this position provides administrative support to all members of the Housing Leadership Team. The department is responsible for housing facilities, housekeeping, assignments, networked operations, and apartment living needs. This position provides customer service, creates and maintains records, orders and organizes departmental supplies. The position is also responsible for departmental events and promoting/representing Housing at key events on campus.

  • 3-5 years of office experience or three years of specialized training or higher education or any combination of experience and higher education equaling five years.
  • Strong computer skills and strong verbal and written communications skills are required.
  • Ability to establish and maintain effective, positive working relationships with staff, students, and community members.
  • Ability to work in a fast-paced environment.
  • Knowledge of office procedures and electronic equipment as required by the department.

Duty/Responsibility

Administrative
  • Provide general administrative support to the Housing Leadership Team and supervisor, including ordering and inventorying office and copy room supplies, tracking and processing purchase orders and invoices, annual uniforms ordering, business cards, and nametags.
  • Keep department files such as org chart, on-call personnel info sheets, office duty schedules up to date.
  • Attend regular meetings.
  • Oversee the administrative components of the hiring process for student staff members for all areas of the department.
  • Ensure compliance with the employee termination process for professional and student staff. Process Purchase-Card receipts and maintain updated records in keeping with university guidelines.
  • Ensure that all department bills and service level agreements payments are made.
  • Reserve room spaces for departmental events.

Duty/Responsibility

Customer Service and Communication
  • Provide customer service and respond to requests for reimbursements related to facilities, including processing Cats Cache.
  • Assist with monitoring and responding to the main departmental email account.
  • Assist with the monitoring and processing of maintenance requests through StarRez.
  • Assist as TAM liaison for Residential Life.
  • Share departmental highlights and new employee announcements for the regular Student Life newsletter.
  • Assist in representing Housing at student-facing events.

Duty/Responsibility

Data Submission, Collection, & Synthesis
  • Process pet requests, furniture rental deposits, other deposits for live-in professional staff processes.
  • Lead the process and record-keeping of background checks & motor vehicle checks for Housing staff.
  • Assist with damage billing entry at the close of each semester.
  • Synthesize data from departmental survey responses, including student life satisfaction surveys, Fire Safety, and Hall Council visits.

Other
  • Participate, as needed, in department and campus initiatives and committees.
  • Assist in coverage of the Housing’s reception area, including answering phone calls and emails to the general housing line/inbox.
